Who's spending 1/3 of their workday on emails?
This used to be true for me. Even declared email bankruptcy a couple times. Now, I hit inbox zero daily – in half the time.
What changed? My relationship with email. It really comes down to that.
'How' you use email matters...
From treating it like instant messenger, failing to set reply expectations, and not consolidating clients, there's so much we get wrong about email.
Here's how I countered these mistakes and learned to hit inbox zero everyday, step by step:
Step 1️⃣ Consolidate or automate
Your email client influences how you sort, prioritize, and act on your inbox. Since I have Hey, Gmail, & Outlook, I found @Superhuman to bring them under one roof.
Whether a product or via automations, find a way to consolidate.
Step 2️⃣ Treat email as an event
I have two slots each day (7:30am & 4:00pm) where I dedicate to emails. Have a more email responsive culture, schedule more events. But put some kind of structure to it.
Put it in your calendar, treat it as concrete event.
Step 3️⃣ Follow a strict process
This is behavior changing. Here's how I handle each email:
- Mark Done (archive) if no response is needed.
- Reply if you can in under 1 minute.
- Triage if the message needs more time (star/remind me)
- Repeat until you hit Inbox Zero!
Step 4️⃣ Turn important emails into tasks
Many people treat their inbox as a task list, keeping emails to “come back to” later. Your email isn’t a productivity tool, it’s a communication tool.
Separating the two is a key part of my approach to inbox zero.
I prefer to keep my inbox at zero. For me, it ensures I never miss an important message and it keeps me focused on work that matters.
